ViiV Healthcare Global Grants FAQ's

What type of organization may apply for a grant?

Medical education grants and congress/conference sponsorships may be awarded to academic medical centers, hospitals, medical societies, professional associations, educational providers or governmental agencies that sponsor and develop educational programs designed to meet the needs of Healthcare Professionals. The organizations are responsible for the content, quality, and scientific integrity of all activities they certify for credit.

ViiV Healthcare does not provide grants to individuals, including individual healthcare professionals.

ViiV Healthcare does not support requests to purchase equipment, provide salary support of the employees of healthcare providers, or to provide general operational support.

What therapeutic areas and disease states does ViiV Healthcare support?

ViiV Healthcare will consider support within the therapeutic area and disease state of HIV.

Does previous support of a program by ViiV Healthcare guarantee future support?

Each request is evaluated on its individual merit relative to other requests. Please do not consider any request approved until you have received written documentation from the ViiV Healthcare Global Grant and Congress Sponsorship Portal.

Does ViiV accept applications for multi-year grants?

Currently, ViiV does not accepts multi-year grants. Grants must be applied for on a yearly basis.

One of my colleagues has submitted a request. Can I get the status of that request?

Only the requestor or delegate has authorization to request status updates. This policy is stated in the application and no exceptions will be made.

If you would like to be added as a delegate on a grant, please request that the primary contact on the grant use the Invite button on the grant’s homepage.

The status of the request must be checked via the ViiV Healthcare Global Education Grant and Congress Sponsorship Request Portal.

May I submit a request for an activity that has already occurred?

ViiV Healthcare does not fund activities that have already occurred.

ViiV Healthcare requires that you submit your request based on the below timelines.

  • Sponsorships: at least 90 days prior to the start date of the event.
  • Grants: based on the timelines outlined in Reference Document section of the portal.
Will ViiV Healthcare consider requests from organizations that are not accredited?
ViiV Healthcare will consider proposals for educational activities/events from non-accredited organizations.
Is my organization allowed to submit unrestricted educational requests?

ViiV Healthcare does not support unrestricted requests.

ViiV Healthcare may not have control of the design, content, faculty selection or execution of submitted requests.

Requested funds must be utilized as intended in the request proposal.

How may grant proceeds be utilized?

The Grant and Sponsorship proceeds must be used exclusively for education activities/events and/or congress/conference sponsorship associated with the activity/event, including audiovisual support or handout production.

Application Process FAQ's

How do I create an Account to log in?

You will select the “Create Profile” command on the menu bar. This will provide a screen which will prompt for the information necessary to create an account and walk you through the steps. The steps will include a “verification” where an email will be sent to you to verify that the account email address (used as your id) was entered correctly.

What are the requirements for a valid password in this system?

You will select the “Create Profile” command on the menu bar. This will provide a screen which will prompt for the information necessary to create an account and walk you through the steps. The steps will include a “verification” where an email will be sent to you to verify that the account email address (used as your id) was entered correctly.

What are the requirements for a valid password in this system?

When creating a password within this portal, the following requirements must be met for the password to be valid:

  • The password should be at least 12 characters
  • The password must include at least 1 UPPER case letter (A-Z)
  • The password must include at least 1 lower case letter (a-z)
  • The password must include at least 1 numeric character (0-9)
  • The password must include at least 1 symbol character (e.g. &, #, @)
What is the delegate role for a Grant or Sponsorship?
  • A delegate is a person with a ViiV grants and sponsorships Portal account who has been identified by the primary contact for the application as someone who should have access to that application. The delegate will have permission to access and provide information regarding the grant application.
  • All Contacts for an application (primary contact and delegates) will receive system notifications about the applications for which they are assigned.
How can I assign a delegate access to my application in the ViiV Global Grants and Sponsorships Portal?

If you would like to add a delegate on a grant, use the Invite button on the grant’s homepage.

How can a delegate be removed from an application?

Email viiv.globaled@viivhealthcare.com with the grant title, ID and person to be removed.

How do I reset my password?

To reset your password, you will need to use the “Forgot Password” function found on the sign on page. Once you select this option follow the steps outlined on the pages displayed.

Why does it take me to my Profile each time I create a new response?

It is very important that we have a complete and accurate profile of all contacts who are submitting a response. This information supports the overall review and approval process. The system is designed to return you to your profile to ensure that the information is complete and to encourage you to verify that your contact and organizational information are up to date. Please review the information each time and select update profile when your review and/or changes are complete.

What is a "Request for Additional Information" and how much time do I have for completion?

A "Request for Additional Information" is made when more information is needed to consider your request. The request will be sent via e-mail.

ViiV Healthcare will follow-up on the original request via e-mail after 5 business days. If ViiV Healthcare has not received all necessary information within 10 business days of the follow-up request, the request may be declined.

Can I complete part of the online request and come back to it later?

Yes. If you are unable to complete your request in one sitting, you may save the request and come back to it later by clicking the SAVE button on the page. At any time before the submission of a request, you will have the opportunity to come back and make changes to the request.

How do I submit a signed and dated W-9 or W-8BEN?

There are several ways to submit your signed and dated W-9 or W-8BEN form. If you already have a PDF version of the signed W-9 or W-8BEN form, simply upload the file in the application where indicated. If you have a scanner, you can print the W-9 or W-8BEN form, sign it, scan it into your system and then upload the scanned document in the application where indicated. If any changes need to be made to your submitted W-9 or W8BEN form, the changes can be made by updating your user profile on the top right corner of the system application.

What is the maximum file size allowed per document upload?

25 megabytes

How long will it take ViiV Healthcare to review my request?

Review times vary from request to request. You can assist with minimizing the review time by providing complete and accurate documentation to the ViiV Healthcare Global Education Grant and Congress/Conference Sponsorship Request Management System in a timely manner.

Can I submit a document in any other way other than through the portal?

No, all documents must be submitted through the on-line ViiV Healthcare Global Education Grant and Congress Sponsorship Portal.

Documents will not be accepted via fax or mail.

What is reconciliation?

At the conclusion of the funded activity (Independent Medical Education Grants and Non-Medical Educational Grants only) recipients are required to submit reconciliation information detailing audience participation, use of funds, and other information to verify the ViiV funds used as intended. You will receive an email notification according to the end date of your activity/event. If you do not submit activity reconciliation within 60 calendar days of completion of your activity/event, you will be prevented from submitting additional requests into the ViiV Healthcare Global Education Grant and Congress/Conference Sponsorship Request Management System until reconciliation is properly submitted.

When should I submit a request for Independent Medical education grant or non-medical education grants?

ViiV Healthcare Global Education Grant and Congress Review Committee meets quarterly to review grants. Grants are reviewed based on their start date. Please refer to the Submission Timeline document in the Guidance Document section for deadlines.

Please note that if grant requests are submitted after the applicable deadline, your grant request will not be accepted for consideration.

When should I submit a request for Congress Sponsorship?

ViiV Healthcare requires that you submit your request at least 90 calendar days prior to the start date of the event. ViiV Healthcare Global Education Grant and Congress/Conference Sponsorship Request Management System must receive your completed request (including all necessary supporting documentation) no less than 90 days from the start date of your planned event.

Please note that if the date of your event is less than 90 days in advance of receipt of your completed request, your grant request will not be accepted for consideration.

What if my program dates or program scope have changed for my approved request?

Please contact ViiV Healthcare as soon you are aware of any request changes.

Where do I return unused funds and to whom is it payable? Should I send it to the attention of an individual? What else should I include to ensure acknowledgement of receipt of returns funds?

Upon completion of the grant, ViiV will initiate the reconciliation process. Please reach out to viiv.globaled@viivhealthcare.com with any question regarding reconciliation.
